Exhibitor Etiquette

Take the time for strategic PLANNING, ORGANIZATION and IMPLEMENTATION!
The TIME and MONEY you invest to make your booth inviting and productive will directly affect the success you reap from the shows.

BE READY FOR BUSINESS
1. Sell Your Product from its’ own merits, not by running down the competitor
2. Be Truthful in your sales presentation.
3. Be Courteous to all attendees. Everyone is a potential customer or can recommend your business.
4. Do NOT post signage or products that impede visibility of your exhibit neighbor.
5. Sound: Keep it within confines of your immediate area.

PERSONAL CONSIDERATIONS
6. Dress for Business Success. Clean, pressed, well-fitting clothes.
7. Stand Up in your booth. If you must sit, use a high stool.
8. Do Not eat in your booth. Eat lunch before show opens Friday.
9. Do Not drink in your booth.
10. Smokers: Use breath Mints, Spray clothes with deodorizer.
11. Do Not consume alcohol on the premises.
12. Do Not read or otherwise ignore Attendees.

The Exhibitor shall assume all liability for his/her own display. N.E.C. Group, Inc. will not assume responsibility for any loss due to fire, theft, etc. 24 hour Security is provided. However, if you feel you need additional insurance, please contact you own insurance company regarding a rider for the Show.

Exhibitor Badges / Registration
REGISTER FIRST
Show Office and Registration Desk:
Located at Freight Door, Rear of Exhibit Hall.
• Prior to setting up your exhibit, please register.
• N.E.C. staff will direct you to your exhibit space.
Exhibitor Badges: Provided for personnel actively involved in sales or staffing your booth.
• Prior to the Show: Available at Registration Desk Rear of Exhibit Hall.
• During the Show: Available Will Call Information Desk. Front Entrance.
• During the Show you may leave complimentary tickets for your guests; badges for personnel.

Exhibits:
NO HELIUM BALLOONS!

Minimum Exhibit Space: 10’deep x 10’ wide
If your exhibit is over 12 feet in height or constructed in a manner that would restrict or obstruct the proper operation of the roof sprinkler system, please call the Show Coordinator for information pertaining to the above.

Additionally, any covered booths having a cover exceeding 16 square feet, but not exceeding 200 square feet, shall be protected within by a smoke detector, which sounds a local alarm.

Important!

NO exhibitor will be permitted to move in if exhibit space is not PAID IN FULL.

OPEN SHOW PRINCIPLE
We do try to adhere to the Open Show Principle where no neighboring booth is obstructed. Sometimes the exhibit is set up in such a way that this is not possible. If you are aware that your exhibit might obstruct/offend your neighbor, please let us know in advance and together we can solve this dilemma. Often when an exhibitor is given the courtesy of being advised of this possibility it becomes of little consequence and everyone is happy. So let’s do communicate in advance. Just a call to the coordinator or your Accounts Executive is requested. Thank you.

Exhibitors may stay as long as required after 10pm to complete your exhibit. If detained or unable to check in PRIOR to 10pm, please phone so that we may contact Security to permit entry to Hall. Need additional time to set up? Make arrangements to do so PRIOR to show set-up day. NO FRIDAY SET-UP

Absolutely no set-up on Friday morning unless prior arrangements have been made. If your exhibit requires minimal carry-in and set-up please call on Thursday and let the Show Coordinator know so that your space assignment remains reserved.

All Exhibits must be finished by 10:30 a.m. on Friday before Show opening.

Exhibitor’s move-out will be permitted for 3 hours after closing Sunday night.
Your move out MUST be accomplished by 11am, Monday.
In order to accommodate everyone as quickly as possible, we ask that you dismantle your booth first before attempting to bring in a vehicle. No vehicles will be allowed in the hall before 8:00pm, and then it will depend on accessibility and safety.


IMPORTANT NOTICE


Attention Exhibitors,

We are making every effort to make the move-in and move-out process more convenient.

In order to facilitate the move-in process, we have arranged for
vehicles to be permitted to be driven in to your exhibit space on Wednesday from 1 to 6 p.m.

Absolutely
NO vehicles will be permitted inside the Hall on Thursday. If you need to drive in, it must be done on Wednesday.

No set-up permitted on Friday morning.

This change has been made so that we may anticipate the possibility of empty booths due to no-shows and fill them.

Fire and Public Safety Rules and Regulations


ON-SITE REVIEW PROCEDURES


Prior to final approval to open the show, the Fire Inspector will conduct a walk-through inspection of the exhibit areas. The Inspector will be accompanied by the Show General Manager, Event Manager or official show designated representative. Any violations noted (that pose a hazard to public safety) will require immediate correction.

All aisles, emergency exits, and life-safety devices shall be kept clear of obstructions at all times once the event opens. Any violations will be brought to the attention of both Show and Facility Management for immediate correction. If, in the opinion of the Fire Inspector, there is an extreme hazard to life, he/she has the authority to delay or terminate the show until the problem has been corrected to his/her satisfaction.



OBSTRUCTIONS

All exit doors serving any occupied area of the building must remain unlocked, in
an operable condition, and visible from all areas. Exit signs shall not be obstructed in any manner. All entrances, exits, aisles, stairways, lobbies, passageways, and fire and safety devices shall remain unobstructed at all times. Nothing shall be hung from or affixed to any sprinkler heads or piping. Booth construction must be substantial and fixed in position in a specified area for the duration of the show. Displays, easels, signs, booth carpet and equipment may not be placed beyond booth areas into aisles.


COMBUSTIBLES

Display literature in exhibit booths shall be limited to a one-day supply. Reserve supplies shall be kept in closed containers and stored in a neat and compact manner free and clear of electrical cables and junction boxes.

Storage of any kind is prohibited behind drapes of display walls or inside display areas. All cartons, crates, containers, and packing materials which are necessary for repacking shall be labeled with “EMPTY” stickers and removed from the show floor.

FIRE MARSHAL

The South Towne Exposition Center Safety Coordinator will be in attendance at the Show. Please read the Special Bulletin regarding Fire Safety Regulations. Please note that the South Towne Exposition Center is a “No Smoking” facility.
As of January 1, 1993 the law in Salt Lake City is “No Smoking” in any public place.

VEHICLES


Vehicles on display within an exhibition facility shall comply with the following:

Require a permit for display of an internal combustion engine on motor vehicles, boats, aircraft, or heavy machinery.

Fuel tanks shall not be filled or drained within the building or loading dock area.

All fuel tank openings shall be locked and sealed in an approved manner to prevent the escape of vapors.

Fuel tanks shall not be more than one-fourth full or contain more than five gallons of fuel, whichever is less.

At least one battery cable shall be removed from the batteries used to start the vehicle engine. The disconnected battery cable shall then be taped in order to eliminate the possibility of a spark.

Vehicles shall not be started or driven during show hours.
